Automated phone booking, straight into your calendar
A caller asks for Thursday afternoon. The agent checks your live calendar, offers what is open, books it and confirms it. Nobody on your team touched the phone.
What is an automated phone booking system?
An automated phone booking system takes appointment bookings over the phone without a person answering. Older systems walk the caller through keypad prompts. An AI voice system holds a conversation instead: it finds out what the caller needs, checks real availability, books the slot in your calendar, and handles changes and cancellations the same way.
What happens on a booking call
- 01
It answers
In under 2 seconds, in your business name, at any hour.
- 02
It works out what the caller needs
Which service, which location, new or existing customer. The questions come from your own rules, and it skips what the caller already said.
- 03
It checks live availability
It reads your calendar during the call, so it only offers slots that are really open, at the right length for that service.
- 04
It books and confirms
The appointment is written into your calendar during the call, with the details your team needs, and read back to the caller.
- 05
It leaves a record
A recording, a transcript and a summary for every call, so you can check any booking against what was said.
Your booking rules, not generic ones
A calendar link knows when you are free. It does not know that a crown takes longer than a cleaning, or that one technician does not do diagnostics. We build your rules into the agent, and when a request falls outside them it takes a message or transfers the call rather than booking it wrong.
- Service lengths, and which staff member or location can do what
- Questions to ask before a slot is offered
- What is bookable straight away, and what needs someone to call back
- Reschedules and cancellations by phone
- Reminders, and working the no-shows to fill the gaps
Phone booking compared with the alternatives
| Keypad booking line | Online booking link | AI voice booking | |
|---|---|---|---|
| Works for someone who calls | Yes, if they follow the prompts | No, they have to go online | Yes, in their own words |
| Handles "do you have anything Thursday?" | No | They look for themselves | Yes |
| Asks follow-up questions | Only fixed ones | Only on a form | Yes, based on the answer |
| Moves an existing appointment | Sometimes | With a link from the confirmation | Yes, on the same call |
| Falls back to a person | Usually to a queue | No | A warm transfer with the details |
Calendars and systems it books into
Google Calendar through Google Workspace, Calendly, Cal.com and GoHighLevel on the general side. Epic, Dentrix, Open Dental, ChiroTouch and Jane App for practices. HubSpot, Salesforce, Pipedrive and Zoho CRM when the booking also needs to land on a customer record. Anything else with an API or webhooks can be connected as part of the build.
This is built for appointment businesses, like clinics, shops, home services and professional offices. If you are looking for a restaurant table reservation system, that is a different product.
Dr. Silvana: An optometry practice cuts no-shows and books more patients without adding staff
As Dr. Silvana says in the case study video. These are this customer's own figures, not a promise of what yours will be.
- Booking 100-150 extra patients per month with the system live
- No-show rate dropped from 10-15% down to about 5%
- After-hours calls now get captured instead of lost to the next office
- Patients and staff say the agent is “our best employee”
Try to book with her
Ask Bella for something on Thursday afternoon, then ask her to move it. This is a live call, not a recording.

Your browser will ask for microphone access. Nothing is stored from this demo.
Try asking her
- “Do you have anything on Thursday afternoon?”
- “What are your opening hours, and where are you located?”
- “I need to move my Tuesday appointment to next week.”
- “Do you accept my insurance?”
- “Can I speak to someone from the sales team?”
On a real line, she also
- Picks up in under 2 seconds, every time
- Books, reschedules and cancels in your calendar
- Answers from your own knowledge base, not the open internet
- Quotes a job live on the call when the quoting agent is wired in
- Warm-transfers to a person when she should
- Leaves a recording, a transcript and a summary of every call
Questions, answered
Can callers reschedule and cancel by phone too?
Yes. The agent books, reschedules and cancels in your calendar during the call, using the same rules you set for new bookings.
What stops it from double-booking?
It checks live availability in your calendar during the call and only offers open slots, so it books against the same calendar your staff use.
Which calendars does it work with?
Google Calendar, Calendly, Cal.com and GoHighLevel, plus practice software such as Epic, Dentrix, Open Dental, ChiroTouch and Jane App. Others can be connected through an API or webhooks as part of the build.
How many calls can it take at once?
Ten conversations at once, so a busy morning does not push callers to voicemail.
How long does it take to set up?
A single inbound line with booking can be live within 48 hours of sign-off. More locations and integrations go live in phases.
How much does an automated phone booking system cost?
Every build is scoped and quoted in writing after a discovery call, before any work starts: a one-time build fee, then a monthly operating fee that covers hosting, telephony, monitoring and continuous improvement.
